First Kiwi deal a big one

Objective has certainly kicked-off well in New Zealand with its first ever implementation being Archives New Zealand. The highly important government organisation has chosen the Australian records and document management application to manage paper and electronic records.

In collaboration with its partner in New Zealand, Unisys, this is the first implementation of an Objective solution in New Zealand and is an important strategic win.

All government records, including the important Treaty of Waitangi between the British and the Maori tribes from 1840. Other records of importance include national genealogical resources, maps, films and photographs. All government documents and records are archived by Archives New Zealand, whilst professional and public organisations use the department for research.

A document and records management system was deemed necessary as part of an overall strategy to improve Archives New Zealand's information processes and capabilities. The strategy was to ensure that record keeping at Archives New Zealand met national and international standards and improved accountability.

"We receive nearly 20,000 requests for access to archives each year, so fast and efficient access to information about those requests is critical to our client responsiveness," said Dianne Macaskll, the chief archivist at Archives New Zealand.

The organisation has four offices and is increasingly dealing with electronic transactions which need to comply with statutory regulations. As a result, her department needed a system that could handle electronic and paper records.

"The solution is providing staff with enhanced tracking capabilities and knowledge sharing, enabling easy access to existing research," she said. Archives New Zealand is using the new system to integrate paper and electronic records, add version control to documents, capture emails and to customise their metadata.

Future plans for the system include the ability to track and automate business processes with the workflow abilities to track which staff member is dealing with a request.
