Hyland Targets Content Sprawl in Teams Channels

Files shared in a Microsoft Teams channel can now be filed directly into an OnBase or Nuxeo repository, where retention and governance rules already apply, using Hyland for Microsoft Teams, an integration that connects the collaboration platform to its content repositories.

The integration lets users search for, view, manage, share and capture Hyland-managed content without leaving a Teams chat or channel.

Hyland says the problem is a divide between where work happens and where governed content lives. As more work moves through Teams, organisations face content sprawl, duplicate storage, manual capture steps and governance gaps.

Without a connected experience, it says, employees may bypass established content systems entirely to work faster. That weakens the value of existing content management investments.

Users can search Hyland repositories from Teams chats and channels, then open, review and work with documents inside Teams. They can share links to repository content so colleagues work from the authoritative version, while repository security stays in place.

Content shared in Teams conversations can be imported into Hyland repositories for long-term management, retention and governance, rather than left scattered across chat history. Content can also be related to specific conversations, making it easier to find later.

Administrators configure the integration through the Hyland Content Innovation Cloud, which also supplies the Teams app package for rollout.

"As work continues to move faster and more fluidly across platforms, our job is to make sure governed content moves with it, not around it," said Megan Caraballo, director of industry solutions product management at Hyland.

Hyland gives examples from regulated industries. In banking, a loan officer chasing missing application documents can retrieve OnBase content from the Teams conversation where the work is happening. So can a fraud analyst investigating a suspect cheque.

In insurance, a claims team can gather photos, estimates and adjuster reports shared in a claim channel and import them into the claim's document type. That import automatically triggers the appropriate claims workflow.

HR teams can capture resumes and offer documents shared in a recruiting channel into a governed HR document type. They no longer sit in a chat thread or personal drive.

"Microsoft Teams is where our customers collaborate and make decisions every day, and those decisions are only as good as the content behind them," said Jacquelyn Crowhurst, chief architect, Americas enterprise partner solution at Microsoft.

Hyland pitches the integration as a way to lift user adoption of existing OnBase and Nuxeo systems and lay a foundation for broader automation.

Hyland for Microsoft Teams is available now to existing Hyland customers that use Teams as a primary collaboration workspace.
