AVJennings projects success with new collaboration platform

AVJennings, one of Australia’s leading residential property developers, has chosen RIB Software’s iTWO Collaboration Exchange, iTWOcx (formerly ProjectCentre) solution as its collaborative project delivery system.

RIB Software will help AVJennings streamline its processes while ensuring accuracy and future-proofing the business. Ultimately, the company anticipates achieving significant cost savings by taking advantage of the RIB solution’s ability to manage time, cost and quality in one central web-based solution.

With over  80 years’ experience in land development, pre-planned integrated housing and medium density activities,  AVJennings provides a diverse range of property purchase options within a variety of residential projects.

With multiple offices and sites under management at any one time in Queensland, News South Wales, Victoria and South Australia and across the Tasman in Auckland New Zealand, AVJennings was looking for an improved way to manage its workflows and projects.

The company manages a number of projects at one time. Each project has quite a few sub-stages and stakeholders, many of whom are interstate. This makes clear and consistent communications an important requirement. AVJennings chose RIB Software’s iTWOcx solution for its outstanding capabilities, real-time management ability and scalability.

iTWOcx offers project management, document control, contract management, financial management and more. It creates transparent and indisputable audit trails while controlling costs, reducing duplicated work and providing oversight and standardised project delivery.

RIB Software in conjunction with AVJennings implemented the new system in a short period of time and went live at the end of March 2013. It is currently used mostly for distributing design documentation, working drawings, tenders and site communications. After previously using a combination of electronic tools for communications, the iTWOcx solution has empowered AVJennings to streamline the distribution of large data files efficiently and effectively.

Jake Kearsley, National Sales Manager Australia, RIB Software, said, “Through the iTWOcx collaborative technology different project stakeholders can discuss changes and requirements. The forum lets designers, systems engineers, account managers and other team members discuss projects as if they were having a roundtable discussion. This helps teams communicate more efficiently, saving the business time while increasing accuracy. The RIB Software solution is a robust communications tool which lets AVJennings track projects in a transparent way.”

The RIB iTWOcx solution has also delivered a clear view of operations between the states, leading to a more consistent company-wide approach.

The key benefit of iTWOcx for AVJennings is the ability to effectively govern and track workflow processes. It lets users check whether designs have gone out on time and ensures that site staff use the latest designs, making quality assurance a much easier task and reducing the cost of errors.

John Eckert, National Design Manager, AVJennings said, “Importantly, RIB Software’s iTWOcx suite offers AVJennings an easy-to-understand, top-down view of many different projects at once. The company could have 100 project sub stages in progress at any given time, so this enables more effective real-time management.

“For example, a recent project on Queensland’s Sunshine Coast included over 100 requests for information” (RFI’s) from the builder that needed to be tracked and recorded. The iTWOcx solution captures that information and makes it easy to respond. From a corporate governance perspective it means that communications are transparent and recorded in the right location for future reference.

“The solution has been readily accepted by staff – from developers to architects, builders and the sales force. It has improved workflow and reduced administrative workload as anyone is able to find the latest information or documentation easily and whenever they need it. All the production staff have embraced the technology and use it on a daily basis. The number of staff using the solution will continue to expand as AVJennings implements more modules and realises further benefits.”
